Every BookStaff customer receives standard onboarding, administrator training resources, platform guidance and ongoing email support for day-to-day questions and troubleshooting. What is Enhanced Support?

Enhanced Support provides a higher-touch level of assistance for organizations with more complex workforce operations, with options such as priority assistance, additional administrator guidance, configuration support, tailored training and post-launch check-ins.

Does support include custom development?

Standard and Enhanced Support are intended to help customers successfully use and configure existing BookStaff functionality. Custom integrations, reporting requirements, significant configuration projects or new development may require separate scoping and pricing.

What does BookStaff implementation include?

Implementation prepares BookStaff around the structure of your organization. Depending on your requirements, this may include configuring employees, departments, locations, qualifications, user permissions, shift templates and workforce rules, as well as administrator training and launch preparation.

Is there an implementation fee?

Yes. BookStaff has a one-time implementation fee based on the size and complexity of your organization, including the number of employees, sites and locations being configured. Your implementation fee will be clearly outlined in your quote before onboarding begins.

How quickly can we be up and running?

Implementation timelines vary based on workforce size, number of locations, configuration requirements and the information available at the start of the project. Your proposed implementation timeline will be provided with your BookStaff quote and rollout plan.

Can BookStaff integrate with our existing systems?

Integration and data exchange options can be reviewed based on the systems your organization currently uses and the information that needs to move between platforms. Available options and any additional development requirements will be identified during discovery.

Does BookStaff replace our HR or payroll software?

Not necessarily. BookStaff is focused on workforce scheduling, open-shift distribution and employee communication. Depending on your operation, it can work alongside other HR, payroll, timekeeping and workforce systems.

Do our employees need training?

BookStaff is designed to be simple and intuitive for employees. Most employees require minimal training to get started. Administrator and manager training is provided separately for those responsible for scheduling and workforce management.

How do I post the shift?

Create a new shift from the dashboard and enter the date, time, location, department, required qualifications and relevant notes, or start from a saved template. Once posted, BookStaff notifies eligible employees based on configured workforce rules and qualifications.

Can I post from the template?

Yes. Saved shift templates can include commonly used details such as location, department, shift times, required qualifications and other shift information, reducing repetitive data entry.

Who gets notified when I post the shift?

Eligible employees who meet the configured requirements for the shift, such as assigned location, department, designation and required qualifications.

What do numbers like 0/10 or 1/1 mean?

These numbers show how many shifts have been filled compared with how many were posted, providing a quick view of coverage.

How do I assign, unassign and bulk-assign shifts?

Use the available assignment options within the schedule to assign or unassign employees. For multiple shifts, bulk assignment can reduce repetitive scheduling work.

How do I edit or delete a shift?

Select the shift and use the edit or delete option. Shift details such as date, time, location, department, qualifications and notes can be updated before saving.

Where can I see a shift's history?

Hover over the clock icon associated with the shift to view who posted or accepted the shift, changes made and notes added.

How do I filter and change schedule view?

Use the dropdowns, search bar, date filters and By Site, By Designation and Calendar buttons to narrow or reorganize the schedule. Additional top-right controls can hide filled, unfilled, active or deleted shifts, print the schedule or reset filters.

What are designations and how do I add one?

Designations are roles or job classifications assigned to employees. They help organize the workforce and determine eligibility for specific shifts. New designations can be created in the Designations section and assigned to applicable employees.

Can I restore or rename a designation?

Yes. Deleted designations can be restored and active designations can be renamed. Preferences control whether deleted information is visible.

How do I send a message to a staff?

Go to Messages, select the plus (+) icon, and use the available filters to target recipients by designation, site, user group or individual user before sending.

What do preferences toggles do?

Preferences control whether deleted shifts, sites, designations and users are visible. Deleted items can be shown again when they need to be located or restored.

How do I restore something that was deleted?

Locate the deleted shift, site, designation or user and use Restore. If the item is not visible, enable the applicable deleted-item toggle in Preferences.

What are 3 tabs in the mobile app?

My Schedule shows upcoming accepted or assigned shifts. Available Shifts shows opportunities the employee is qualified and eligible to work. Messages contains shift confirmations and applicable workforce communications.

Security and privacy

Access is controlled by role.

User accounts and permissions

Access to BookStaff is controlled through individual user accounts and role-based permissions, helping limit information and functionality to appropriate users.

Employee contact details

Only authorized Administrators and Managers can access employee contact details. Employees do not have access to other employees' contact information.
