Why BookStaff

More than
scheduling software.

Most scheduling tools help you build a roster. BookStaff is built for what happens when that roster changes — the call-out, the vacancy, the last-minute coverage gap. Post the shift once, connect it with the right eligible employees, and see your coverage update in real time.

And because every workforce operates differently, BookStaff can be configured around your departments, locations, qualifications and workforce rules.

Why organizations choose BookStaff

Reduce Manual Coordination

Post an open shift once instead of working through individual calls, texts and employee lists.

Fill Vacancies Faster

Notify eligible employees simultaneously so
coverage opportunities reach the workforce
in seconds.

Reach the Right Employees

Use qualifications, departments, locations and
other workforce criteria to determine who should
receive each opportunity.

See Coverage in Real Time

Give managers a live view of filled, unfilled, pending and cancelled shifts across their operation.

Keep Communication Together

Bring shift notifications and workforce communication into the same platform employees already use.

Adapt to Your Workforce

Configure BookStaff around departments, locations, employee groups, qualifications and shift-distribution requirements.

Give Employees More Visibility

Employees can see relevant opportunities, accept available shifts and access their schedules without relying on individual calls from the office.

Turn Scheduling Into Workforce Insight

Use scheduling and coverage data to understand vacancies, cancellations, fill and workforce patterns.

Help Manage Overtime

Greater visibility into shift distribution and workforce availability can help organizations make more informed coverage decisions before relying on overtime.

And Your Staff Notice

Employees receive relevant opportunities directly, choose the shifts that work for them and see their schedule in one place — without unnecessary calls, group texts or repeated interruptions on their days off.

Our story

We built BookStaff to fix our own staffing problem first.

Superior Staff It had the same problem many shift-based organizations face: an unexpected vacancy could trigger calls, texts, availability checks and hours of administrative coordination.

We tried existing shift-filling software. Twice. Neither platform fit the way our workforce actually operated. So instead of changing our operation to fit the software, we built software around the operation.

BookStaff began as an internal solution for Superior Staff It and was shaped by the realities of managing healthcare staffing — qualifications, multiple locations, last-minute call-outs, employee availability and constant changes in coverage.

What started as a solution to our own problem is now being developed into a configurable workforce scheduling and shift-filling platform for other organizations facing the same challenges.

Built in the real world

Every feature started with an operational problem.

The phone list was too slow.
Instant shift notifications.
Not everyone could work every shift.
Qualifications and eligibility criteria.
Coverage changed constantly.
Real-time scheduling visibility.
Different workforces follow different rules.
Configurable workforce structures and distribution rules.
The team behind BookStaff

Built by the people who were making the 5am phone calls.

The problem we set out to solve

Hours lost manually coordinating coverage.

Difficulty reaching eligible employees quickly.

Open shifts scattered across calls, texts and spreadsheets.

No real-time view of what's filled and what still needs coverage.

Employees receiving opportunities that aren't relevant to them.

Workforce rules that generic scheduling systems weren't built to accommodate.
